Axiom Exams provides teacher-designed diagnostic assessments and personalised reports to support children preparing for 7+ and 8+ school entrance examinations. We may also offer optional educational workbooks, consultations, tuition, courses and other educational resources.

We respect your privacy and are committed to protecting the personal information of parents, guardians and children who use our services.

This Privacy Policy explains how we collect, use, store and protect personal information when you purchase an assessment, complete an assessment, receive a report or workbook, contact us, subscribe to our newsletter or use our consultation services.

We aim to collect only the personal information that is reasonably necessary to provide and manage our services.

Information About Children and Parental Permission

Our assessment services are intended to be purchased and arranged by a parent, legal guardian or another adult authorised by the child’s parent or legal guardian.

We expect the adult who provides information about a child and arranges the assessment to have the necessary authority or permission to do so.

We collect and use information about children only for the purposes described in this Privacy Policy, including administering assessments, analysing assessment responses, preparing personalised reports and educational materials, and providing related customer support.

We aim to minimise the personal information we collect about children and do not normally require a child’s full name, date of birth, home address or other unnecessary identifying information to provide our standard assessment service.

Parent or Guardian Information

When you purchase an assessment, contact us or use our services, we may collect:

Consultation Information

Parents may choose to request an optional consultation.

During booking or a consultation, you may provide information such as:

  • Information about your child’s preparation

Consultations are not recorded.

Where notes are taken during a consultation, we aim to keep them only for as long as necessary to provide the relevant service and will delete them when they are no longer needed, unless there is a specific legal or legitimate business reason to retain them.

Newsletter and Marketing Information

If you choose to subscribe to our newsletter or other marketing communications, we may collect:

Our Website and WooCommerce

When you purchase an assessment or other service through our website, information may be collected through WooCommerce and related website systems.

Payment details are processed by our payment provider. We do not store full payment card details ourselves.

Payment Provider

Payments are processed through a third-party payment provider.

The payment provider may process payment and transaction information in accordance with its own privacy policy and terms.

We receive the information necessary to confirm and fulfil your purchase.

Typeform

Assessment responses are collected through Typeform.

Depending on the assessment, Typeform may process:

  • Parent or guardian email address
  • Child’s first name or chosen nickname
  • Assessment reference number
  • Assessment responses
  • Photographs or uploaded images of completed assessment pages

Photographs or uploaded images may be reviewed and marked by Axiom Exams by a qualified teacher as part of the assessment process. They are used to assess the child’s work and contribute to the preparation of assessment results, reports and personalised educational materials.

We normally retain assessment responses and uploaded photographs or images for up to 6 months after the relevant assessment or related service has been completed. After this period, they will normally be deleted or otherwise securely disposed of, unless there is a legitimate or legal reason to retain them for longer.

We use assessment information to review performance, apply our marking process and prepare personalised reports and workbooks.

Google Workspace

We use Google Workspace services, which may include:

  • Gmail for customer communication
  • Google Drive for document storage
  • Google Calendar for consultation scheduling

These services may be used to store or process information necessary to provide our services, including customer communications and, where applicable, assessment-related documents and personalised reports and workbooks.

We use appropriate account security measures to protect information stored within these services.

Vimeo

Some instructional videos and educational content may be delivered through Vimeo.

When you view embedded Vimeo videos, Vimeo may process technical information such as your IP address, browser information and device information. Depending on the video and the settings used, Vimeo may also use cookies or similar technologies to provide video playback, improve performance and maintain security.

MailPoet

We may use MailPoet to manage newsletter subscriptions and send marketing communications.

If you subscribe to our newsletter or other marketing communications, MailPoet may process information such as:

  • Your subscription status and preferences
  • Information about your interaction with emails, where applicable

We use this information to send newsletters, educational resources, preparation advice and information about Axiom Exams where you have provided the appropriate consent.

Artificial Intelligence Tools

We may use artificial intelligence tools to assist with preparing educational content, draft personalised reports, personalised workbooks and other educational materials.

Where AI tools are used in connection with personalised assessment information, we aim to remove or avoid direct identifiers and use de-identified or pseudonymised information wherever reasonably possible.

Microsoft Office

We may use Microsoft Office applications, such as Microsoft Excel and Microsoft PowerPoint, to prepare and review personalised reports, workbooks and other educational materials.

Completed documents may then be securely stored using Google Drive as part of our normal business records and service delivery process.

After a child completes an assessment, we may:

  • Review the assessment responses;
  • Review and mark uploaded photographs or images of completed assessment pages, where applicable;
  • Assess responses using our marking process and relevant assessment criteria;
  • Analyse results and performance information;
  • Identify areas of strength and areas for further development;
  • Prepare a personalised diagnostic report; and
  • Provide educational recommendations based on the assessment information.

The completed report is sent to the parent or guardian using the contact details provided for the relevant service.

Reports may include:

  • Child’s first name or chosen nickname;
  • Assessment reference number;
  • Assessment scores;
  • Performance summaries;
  • Areas of strength;
  • Areas for development; and
  • Preparation Guidance

Reports are intended to provide educational guidance based on the child’s assessment performance at the time the assessment is completed. They are not a guarantee of future examination performance, school admission or any particular educational outcome.

We aim to send completed reports within 3 working days of the relevant assessment being completed. If multiple assessments have been purchased, this timeframe will normally begin once the final assessment has been completed.


6. Use of Artificial Intelligence (AI)

We may use artificial intelligence (AI) tools to assist with preparing educational content, draft personalised reports, personalised workbooks and other educational materials.

AI tools may assist with tasks such as:

  • Drafting educational explanations;
  • Helping to organise or summarise assessment information;
  • Assisting with the preparation of draft reports;
  • Assisting with the preparation of educational activities; and
  • Supporting the development of other educational materials.

Where AI tools are used in connection with personalised assessment information, we aim to remove or avoid direct identifiers and use de-identified or pseudonymised information wherever reasonably possible.

We do not intentionally use AI to make decisions about a child’s educational ability, suitability for a particular school or likely future outcomes. AI tools are used as assistive tools and do not replace human review.

All personalised reports are reviewed by Axiom Exams before they are provided to a parent or guardian.

We remain responsible for reviewing and approving content provided to customers, including content that has been prepared with the assistance of AI tools.

Depending on the AI tool used, personal information may be processed by the relevant AI service provider. We take reasonable steps to limit the personal information shared with AI tools and use them in accordance with applicable data protection requirements.

Where relevant, information about the AI service provider and how it processes personal information may be available in the provider’s own privacy information.


7. Legal Basis for Processing Information

Under UK data protection law, we process personal information using different lawful bases depending on the purpose of the processing.

Contract

We may process personal information where it is necessary to provide a service you have purchased or requested, including:

10. How Long We Keep Information

Assessment Information

Assessment responses, assessment results, uploaded photographs or images of completed assessment pages, reports and personalised workbooks will normally be retained for up to 6 months after the relevant assessment or related service has been completed.

If multiple assessments have been purchased, this period will normally begin after the final assessment or related service has been completed.

After this period, the information will normally be securely deleted or otherwise securely disposed of, unless there is a legitimate business or legal reason to retain it for longer.

Customer Enquiries

Information relating to customer enquiries will normally be retained for up to 12 months after the enquiry has been resolved, unless it is reasonably necessary to retain it for longer.

Financial and Accounting Records

Financial, transaction and accounting records may be retained for 6 years or for any longer period required by applicable law.

Marketing Information

If you subscribe to marketing communications, we will retain your contact details and marketing preferences for as long as you remain subscribed or until the information is no longer needed for the relevant purpose.

If you unsubscribe, we may retain limited information necessary to record your preference and ensure that we do not send you further marketing communications.
